Terms & Conditions

These Terms & Conditions govern your use of the TraceMate platform. By creating an account or signing into the system, you agree to these terms.

About TraceMate

TraceMate is a cloud-based asset, calibration, and compliance tracking tool designed for technical teams, laboratories, and inspection companies. The platform provides digital record management, certificate storage, QR-code linking, and various ISO 17025-aligned workflow tools.

Data Security, Storage, and Responsibility

We take security seriously and use encrypted connections, controlled access, and industry-standard storage practices to protect your data.

You are responsible for maintaining secure passwords, role assignments, and internal access controls for your team.

Enterprise Security Options: For customers requiring enhanced security, dedicated environments, or additional protective measures, enterprise-grade security upgrades are available as an optional paid service.

Data Ownership

You retain full ownership of your data at all times. TraceMate only stores and processes the information you provide in order to deliver the service. You may export or delete your data at any time.

Subscriptions and Billing

TraceMate subscription plans renew automatically unless cancelled. You may cancel at any time. Access continues until the end of the paid period.

A one-time onboarding fee applies to all paid plans. Trial plans do not require payment details.

Audit-Ready Guarantee — Terms

To qualify for the 30-Day Audit-Ready Guarantee:

  • The customer must upload all existing calibration certificates within 14 days.
  • The customer must submit an asset list via the provided CSV template.
  • The customer must attend the scheduled onboarding session.
  • The customer must use TraceMate at least once per week during the 30-day period.
  • The customer must reply to TraceMate support requests related to implementation within 48 hours.

Guarantee Details: If these requirements are met and the customer does not feel audit-ready by the end of 30 days, the onboarding fee will be waived.

Acceptable Use

You agree to use TraceMate for lawful purposes only and in compliance with applicable regulations. You may not:

  • Use the service to store or transmit illegal, harmful, or malicious content
  • Attempt to gain unauthorized access to the platform or other users' accounts
  • Interfere with or disrupt the operation of the service
  • Resell, sublicense, or redistribute access to TraceMate without authorization
  • Use automated systems to scrape or extract data from the platform

We reserve the right to suspend or terminate accounts that violate these terms.

Limitation of Liability

TraceMate is provided "as is" without warranties of any kind. We strive to maintain high uptime and reliability, but we cannot guarantee uninterrupted or error-free service.

To the fullest extent permitted by law, TraceMate and its operators are not liable for any indirect, incidental, special, or consequential damages arising from your use of the platform, including but not limited to lost profits, data loss, or business interruption.

Changes to These Terms

We may update these Terms & Conditions from time to time. When we make significant changes, we will notify active users via email or through the platform. Continued use of TraceMate after changes constitutes acceptance of the updated terms.
